VENDOR/EXHIBITOR POLICY

Spaces are limited and fill quickly. Apply now to reserve your exhibit space for the 2007-2008 Party Showcase Gala held at the DECC on November 10th, 2007. Print and complete the pre-registration form; include your 50% deposit and mail to:  Greeneyes Productions LLC, PO BOX 16956, Duluth MN 55816. (Vendors must attach a copy of your St. Louis County Health Department food service permits.   • Booth cost is $500 with 50% deposit before September 10th, 2007.
  • Booth cost is $525 with 50% deposit before September 24th, 2007.
  • Booth cost is $550 with 50% deposit before October 15th, 2007.
  • All requests must be received and paid in full by October 29th, 2007. No additional orders for space will be taken after this date.
  • To add “Vendor Show & Sell” feature, add $35 to the above rates.

 

**Electrical power is not included in the exhibitor cost, but may be purchased directly through the Duluth Entertainment and Convention Center. Contact them at 218-722-5573 as early as possible to assure you will have this option.

Doors open for exhibitor setup at 6:30 a.m. the day of the event and all exhibits must be completed no later than 1 hour before the door opens at noon. (See duration of exhibitor’s hours based on “Major” or “Minor” exhibitor status.)

VENDOR SHOW & SELL: Show & Sell Acts (S&SA) are great for businesses that want to speak to a captivate audience to highlight their products, services, or talents. Solo acts such as speakers, comedians, jugglers, and similar, find this a rewarding venue. It is fresh, fast, friendly, and affords you a great opportunity to present to a larger number of people at one time versus presenting one-on-one at your booth. Your business name and S&SA time will be listed on the program distributed to each attendee and on marquees placed strategically on the floor of the Party Showcase Gala. Demonstrate and present for 15 minutes to an audience in a theatre-style seating arrangement for just an additional $35 fee. Time slots are limited so if all spots are taken by the time we receive your deposit, your $35 will be refunded. The number of audience members varies and is not guaranteed. You will have 10-15 minutes to set up and remove your presentation props between Show & Sell Acts.

MAJOR EXHIBITOR/MINOR EXHIBITOR Definition: We understand that not every exhibitor has the same marketing goals, so we created two classifications. All exhibitors are treated equally with the same benefits, opportunities, and fee structure. The difference is in the duration of time spent at the event. The event is open to the public from noon to midnight. “Major” exhibitors are those who want to take advantage of all this event offers and will stay for the full 12 hours (noon until midnight). Please plan for enough staff and materials. “Minor” exhibitors are committed to be present until 5 p.m. and agree to be completely removed before 6:15 p.m. “Minor” exhibitors may be placed closer to the exits. “Minor” exhibitors may opt to become a major exhibitor the day of the event with notification to Greeneyes staff. “Major” exhibitors do not have this option and are committed to the full duration of the show.  

POLICY:

____ By submitting the registration form with your 50% deposit, you as an exhibitor are agreeing to the following:

·        Any business or organization that offers talent, seeks talent, or offers products/services used by any business or organization that offers talent or seeks talent will be considered by Greeneyes Productions LLC (GP) as an exhibitor. Submission of a deposit does NOT guarantee a space in any GP event. GP reserves the right to refuse space to anyone or any business based on the following criteria and policies:

  • Exhibitor agrees to present, exhibit, and display in keeping with the high standards of all exhibitors.
  • To preserve the quality of GP events, eligibility to showcase your talent through “VENDOR SHOW & SELL” (usually in blocks of 15 minutes for caterers, beauty consultants, public speakers, comedians, magicians and similar), participants  must have been in business a minimum of 1 year, and in good standing in their industry and with the business community.
  • You must be an exhibitor with a booth to take part in the optional VENDOR SHOW & SELL feature.
  • Directory listing is free to the exhibitor. All listings must have a complete address, which means a street address or PO Box #.
  • Exhibitors will be notified of booth locations, which will be assigned by Greeneyes Productions LLC on a “first come, first serve” basis. (Next year and following, priority will be given to repeat exhibitors.)
  • Exhibit booths are 10' across x 8' deep with skirted 8' table, and include a chair, and signage. Double spaces may be available upon request. There are no half – sized booths.
  • All space contracts are noncancelable and nontransferable. No subletting of space in any GP show is allowed. Displays are restricted to the space contracted for. Exhibitors may not use the aisles in any way to conduct sales.
  • All displays and exhibits must comply with all the rules and regulations of the local Fire Department. Fire exits and alleys must be kept open at all times. All decorations must be made of fireproof material or be fireproofed.
  • Any exhibit or display that has an unfinished side facing another exhibitor's display must either have the side finished or draped.
  • All shipments of exhibitors' displays or material must be prepaid. Shipments should be made far enough in advance to arrive at least three (3) days prior to the opening of the show.
  • Exhibitors may NOT begin dismantling until the posted closing time (midnight) of the show. Early move out is strictly prohibited. (SEE CLASSIFICATION OF “MAJOR” AND “MINOR” EXHIBITORS ABOVE.)
  • Signs or other articles are NOT to be fastened to walls or electrical fixtures. The use of thumbtacks, scotch tape, nails, screws, bolts, or any other tool or material, which could mar the floors or walls is prohibited.
  • All exhibitors, show staff, and entertainers must use the exhibitor’s pass gate. Passes will be issued to all exhibitors during the opening day of the show. Only paid-up exhibitors will receive passes.
  • No sponsors of any GP event, event decorator, building management, Greeneyes Productions LLC, or officers thereof, those managing any event on their behalf, nor their employees will be responsible for any loss or damage from any cause whatsoever that may arise to an exhibitor, their employees, or their goods either while in transit to or from the building, or while in the building.
  • All space rental charges must be paid prior to the show’s opening.
  • By exhibiting at this event, you grant permission to use your likeness in future promotional events without remuneration. This is standard consent etiquette and Greeneyes Productions LLC does not intentionally single out and promote any vendor or attendee participating.
